Privacy Policy
Leoconnexio Inc. ("Leoconnexio", "we", "us") Last updated: October 4, 2026
1. What leoconnexio is, and What this Policy Covers
Leoconnexio is a professional interpreting platform that facilitates the delivery of on-demand and scheduled Video, Telephone, and On-site interpreting services. The platform connects interpreters, customers, and Language Service Providers ("LSPs"), and provides instant reporting of interpreting activity to the authorized users and organizations involved.
In connection with the lrovision and administration of these services, Leoconnexio may collect, use, store, and otherwise process information relating to interpreting activities and transactions, including for purposes of service administration, recordkeeping, reporting, and the provision of relevant information to authorized users and parties involved.
This policy covers the leoconnexio web application, the interpreter workstation, the leoconnexio Mobile app for on-site interpreters, and the telephone language line.
leoconnexio is not open to the public. There is no self-service sign-up. Every account is created by invitation from an LSP or from Leoconnexio, and every user belongs to an organization that holds a contract with us.
2. Our role, and your organization's role
For most of the information on this platform, your organization decides what is collected and why. We process it on their instructions.
If you are an interpreter, the LSP that engaged you determines what is recorded about your assignments, your pay and your credentials.
If you are a customer user, your organization determines what information is entered when booking an interpreter.
Where health information is involved, the customer organization is typically the HIPAA covered entity, the LSP acts as its Business Associate, and leoconnexio acts as a subcontractor Business Associate under written agreements with each.
We act on our own behalf only for operating, securing and billing the platform itself.
If you want information corrected or removed, contact your organization's administrator first. They can act immediately; we usually cannot act without their instruction.
3. What we never collect
leoconnexio never records audio or video. Not of any session, for any customer, on any plan, at any price.
This is a deliberate design prohibition, not a feature we have not built yet. No interpreting session — video, telephone or on-site — is recorded, archived, transcribed or buffered to storage by us. Our video and telephone providers are configured with recording capability disabled, and our software is tested on every release to confirm that no recording instruction can be issued.
We also do not sell personal information, we do not share it with advertisers, we do not use it to train artificial intelligence models, and we serve no advertising.
4. What we do collect
Account and profile information. Name, work email address, phone number, time zone, and the organizations you work with. For interpreters: languages, certifications held, employment classification, and pay rate — all configured by the LSP that engaged you. Interpreters may optionally self-declare a gender; it is used only to match requests where a customer has asked for an interpreter of a particular gender, and it is never displayed in any directory or browsable list.
Assignment and session records. For each interpreting assignment: date, time, duration, language, modality, the parties involved, status history, and the resulting charges and pay. We record that a session happened and its particulars. We never record what was said.
Health information. When a customer books an interpreter for a medical appointment, their organization may be required to enter a patient name, date of birth or medical record number so the interpreter can be directed to the right place. This is Protected Health Information. It is encrypted at the individual field level, access to it is logged, and it is never placed in a text message, an email, or a document that leaves the platform. Invoices deliberately carry no appointment detail.
Location — on-site assignments only. The mobile app checks your location only at the moment you tap Start or End on an on-site assignment, to confirm you are at the appointment address. We compare your position to the address and store the result and its accuracy. We do not track your location in the background, between assignments, or while you are not using the app.
Device and technical information. Device type, app version, push notification token, IP address, sign-in times, and which device capabilities are available, so that a video call is never offered to a device that cannot take one.
Communications metadata. For telephone interpreting: the numbers involved, call times and durations. When an interpreter dials a third party from within a session, the recipient sees a platform number rather than the interpreter's own. The content of the call is never captured.
5. How we use it
To match requests to qualified interpreters; to run sessions; to calculate charges, pay, mileage and expenses; to send operational notifications; to produce reports and invoices for your organization; to maintain security and audit records; to meet legal, tax and professional-compliance obligations; and to support and improve the service.
Notifications sent outside the platform — push, SMS and email — contain no patient information. They tell you something needs attention and link you back into the app.
6. Who we share it with
We share information with your own organization and the organizations party to your assignments — the LSP, the customer, and where work is subcontracted to a declared partner LSP with the customer's permission, that partner.
We use these service providers, each under a written agreement and, where health information may be involved, a Business Associate Agreement:
PROVIDER:
Amazon Web Services: Hosting, authentication, secrets management, and account email — invitations and password resets (United States)
Neon: Database hosting, HIPAA-enabled configuration (United States)
Vonage: Video sessions, telephone calls, SMS notifications
Amazon Bedrock (Amazon Nova Sonic 2): Optional voice commands on the desktop workstation, processed within Amazon Web Services. Not available in the mobile app. Never used on interpreting calls, and no patient information is sent to it.
We also disclose information where the law requires it, to protect rights and safety, and to a successor in the event of a merger or acquisition — in which case this policy continues to apply until replaced on notice.
7. Security
Encryption in transit and at rest; field-level encryption for patient name, date of birth and medical record number; database-enforced isolation so that one organization's data is structurally unreachable from another's; invitation-only accounts; a six-digit organization Access Code required at every customer sign-in, with rate limiting and lockout; least-privilege access; and an audit log of access to health and billing information.
No system is perfectly secure. If a breach affects your information, we will notify you and your organization as required by law.
8. How long we keep it
Session, assignment and financial records are retained for seven years. They are professional, tax and compliance records, and interpreting services are frequently audited.
Audit logs are retained for the same period. Operational logs are retained for a shorter period. Telephone number recognition on the language line expires after 180 days of non-use.
9. Deleting your account
You can delete your own account at any time, from inside the application. Open Account → Delete Account in the Leoconnexio web application or in leoconnexio Mobile and confirm. You do not need our permission and you do not need to ask your administrator.
You may also request deletion by writing to info@leoconnexio.com, or through the web form at https://leoconnexio.com/delete-account. Your organization's administrator can close your account as well.
If you have accepted assignments that have not yet taken place, you will be asked to release them before deletion completes, so that a customer expecting an interpreter is not left without one.
When an account is deleted we disable access immediately, remove your sign-in credentials, and remove or anonymise your personal profile — including your name, contact details, and any optional gender declaration.
We retain the underlying assignment and financial records for the seven-year period described above, because they are the records of work performed and money paid, and both we and your organization are required to keep them. After anonymisation those records no longer identify you.
10. Your rights
Depending on where you live you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict processing, and to be free from discrimination for exercising these rights.
Because most information here is held on your organization's instructions, the fastest route is your organization's administrator. You may also contact us at info@leoconnexio.com and we will respond within the time the applicable law allows, after verifying your identity and, where necessary, consulting your organization.
We do not sell or share personal information for cross-context behavioural advertising, so there is nothing to opt out of.
11. Children
Leoconnexio is a professional tool for working adults. It is not directed to children, and we do not knowingly collect information from anyone under 18. Patient information entered by a customer may relate to a minor patient; it is handled as health information under the protections described above and never used for any other purpose.
12. Where your information is held
Our systems are hosted in the United States. If you use Leoconnexio from outside the United States, your information is transferred to and processed there.
13. Changes
We will post any change here and update the date at the top. If a change is significant we will notify account administrators before it takes effect.
